The hidden cost of silent no-shows
Every no-show is a triple loss: the empty spot, the coach’s wasted prep, and the member’s slipping commitment. Three or four no-shows in a row and that member is gone — they just haven’t told you yet. No-show recovery catches them at the moment of greatest leverage.
How it works
Sixty minutes after a missed class — long enough that they’ve left the gym window, short enough that the disappointment is still fresh — the system:
- AI calls the member (or sends a personalized SMS if they don’t answer). The voice agent uses a warm, no-judgment tone: “Hey [name], just wanted to check — looks like you missed the 6 AM. Everything okay?”
- Listens for the reason — sick, kids, work ran late, lost motivation — and classifies it.
- Re-books them into the next available class slot that fits their usual cadence.
- Logs the reason to the member record so coaches can see patterns later.
If the member doesn’t answer the call, the system follows up with SMS, then email, then a coach-pinged in-person nudge at their next class.
Why ~70% recovery rate
Members rarely cancel because of a single missed class. They cancel because the missed class wasn’t followed by anyone reaching out. The 60-minute window — when the missed class is still in their head and they haven’t yet rationalized it — is the highest-leverage rebooking window. Other dunning-style “we missed you” sequences fire 5–7 days later, by which point the member has already mentally moved on.
Compliance
Voice AI calls happen only for members who opted-in to phone contact during signup. Members who text STOP to opt out of SMS are removed from all reminder and recovery flows automatically.
