The starting point
An illustrative independent personal trainer in Denver — 28 active clients, 4 years in business, running session packages at $80–$110 per session. His biggest leak was session-package renewal: clients would finish a 10-session package, forget to renew, drift for 3–6 weeks, and then re-engage with reduced cadence. About half of expired packages went unrenewed for over a month.
What we installed
The personal-trainer-flavor snapshot build:
- Session-package billing with auto-decrement and 2-session-remaining renewal prompts.
- Daily accountability check-in flow — day-after-session SMS, 3-day between-session nudge.
- No-show recovery firing 30 minutes after missed sessions.
- Referral SMS automation after each client’s 10th session.
What changed
Week 1: Auto-renewal prompts went out to 9 clients with 2 sessions remaining. 7 renewed within 72 hours, 2 took an extra week.
Week 4: Accountability check-ins drove a noticeable lift in between-session client engagement. Two clients upgraded from 1x/week to 2x/week packages after the system flagged their goals (in the day-14 prompt) and the trainer followed up.
Week 8: Referral SMS automation produced 3 new clients from 4 referrals fired. New-client cost (zero ad spend) was effectively the cost of the existing clients’ $50 referral credits.

What the trainer cared about
For a solo PT operator, the time-savings mattered as much as the revenue lift. Six hours of admin time per week reclaimed translates to one extra session-day of capacity. The renewal automation specifically removed the awkward conversation of asking long-time clients to renew their packages — it just happened in the background.
The referral SMS was the surprise win. The trainer hadn’t been actively asking for referrals (felt awkward). The automated 10th-session referral SMS landed naturally — “you’ve been showing up consistently, anyone in your circle who’d benefit?” — and 3 of 4 referrals converted to new client relationships.
